Summer 2021

Payment Schedule:

A deposit of $500 is required to confirm registration in one of our summer 2021 adventures. 

The remainder of the trip balance is due on April 1, 2021. If you register and make your deposit after April 1, payment in full is due within 7 days of registration. 

Travel insurance is purchased at a group rate by OutLoud Adventures. Each individual is covered under the group policy. View Sample Policy. OutLoud Adventures will send each participant a copy of the official policy and an invoice for his/her share of the coverage. The cost of insurance is determined by the final number of participants on the trip, but the average for our trips is $83 per person. 

Cancellation & Refund Policy:

Cancellation prior to 90 days before program departure: Full refund, including deposit 

Cancellation between 60 - 90 days before program departure: Refund will be issued less the $500 deposit. Deposit is non-refundable. 

Cancellation between 30 - 60 days before program departure: A credit for the value of the trip, less the $500 deposit, will be issued. The credit may be applied towards another trip in 2021 or 2022. Deposit is non-refundable. 

Cancellation less than 30 days before the program departure: If the reason for cancellation is covered through our group trip insurance policy, a refund less the $500 deposit will be issued. If the reason for cancellation is not covered through our group insurance policy, the trip fee and deposit are non-refundable.

Enrollment Process: 

When OutLoud receives your application and deposit, OutLoud will confirm your enrollment by email. Included in the email will be required forms for the participant and legal guardian to complete.  These forms contain important information about the trip activities and associated risks, as well as the participant's responsibilities. Participant's final acceptance to the trip is contingent upon OutLoud's receipt and review of all required forms. 

OutLoud does not discriminate on the basis of race, gender, religion, national or ethnic origin, sexual orientation, age or disability. OutLoud Adventures is not a program suitable for those with severe mental, physical or emotional difficulties. I (legal guardian of participant) agree to inform OutLoud in writing before or in conjunction with this application of my child's current or past history of psychological, behavior issues, or physical limitations. I understand that I have a continuing obligation to inform OutLoud in writing of any new psychological, behavioral, or physical issues that may arise after OutLoud's receipt of this application and before program departure. OutLoud reserves the right to request additional medical information for the safe operation of the program and to refuse admission in appropriate cases due to safety concerns and any such refusal or removal of a participant for conditions that were not or insufficiently disclosed will be without refund. 

Terms of Payment:

Terms of payment are described on our website and in this document including final payment must be by April 1, 2021 or for later enrollments, within 7 days of enrollment unless otherwise arranged in writing. OutLoud reserves the right to charge a late fee of $50 for payments made after the due date. OutLoud reserves the right to treat overdue balances as if you are cancelling your enrollment. 

Cancellation by Participant:

Cancellation policy is listed on our website and in this document. Any cancellation must be by email and refundability will be based on the date of receipt by OutLoud. Participant may withdraw this application prior to 90 days before trip departure and receive a full refund of all fees and deposits. 

Cancellation Or Change of Program by OutLoud:

OutLoud reserves the right to change or cancel the program itinerary, location, dates or duration for any reason, at any time. OutLoud is not responsible for costs you incur in preparing for or as a result of a program being altered or cancelled. 

Program Not Operating For Reasons Beyond OutLoud's Control:

If OutLoud cannot operate a program due to any reason that is beyond the control of OutLoud (this may include, but is not limited to war or warlike operations; civil disturbances or riots; labor difficulties or strikes; terrorism or specific and credible threats of terror; Acts of God, fires epidemics or pandemics as declared by the CDC or WHO; natural forces such as earthquakes, volcanoes, tsunamis and their resulting consequence; hazardous or unpredictable weather or environmental conditions; government restrictions against travel; quarantines; unsafe conditions); OutLoud will proceed as follows:

a) If prior to 30 days before departure, OutLoud will issue a full refund of program fees paid.

b) If less than 30 days before departure, OutLoud will issue a 75% refund of program fees or a 100% future program credit to be applied towards another trip in 2021 or 2022. 

c) If from the departure date or thereafter, OutLoud will issue a pro rated credit for a future program. Any flight costs to return home in such case are your responsibility unless covered by our group insurance policy. 

In any case of a trip cancelled for reasons beyond OutLoud's control, OutLoud is not responsible for other costs you incur in preparing for or as a result of a trip being cancelled. 

Group Composition:

Maximum group sizes and age requirements are listed on the OutLoud Adventures website. OutLoud cannot guarantee the group composition including minimum size, balanced gender ratios, or specific ages of participants. 

Travel Arrangements and Rules:

I (participant's legal guardian) authorize OutLoud and its representatives to make travel arrangements, flight bookings, accommodations, rules and regulations that they may deem advisable, in their discretion, for the well-being and welfare of all participants. Participants are expected to comply with all OutLoud rules and regulations as well as with the applicable laws and regulations of all places visited. OutLoud reserves the right to dismiss any participant from the program that the staff believes, in their discretion, presents a safety concern or medical risk, is disruptive, inappropriate, offensive, or otherwise conducts him or herself in a manner detrimental to the program. If participant is dismissed or departs from the OutLoud Adventures program for any reason, no refunds will be granted. No refund is issued for any unused program features, whether because of participant's choice, bad weather, or other reasons. I (participant's legal guardian) am responsible for all costs of early departure, including the entire cost of transportation. I (participant's legal guardian) agree to pay for any costs (including repair, replacement, and cleaning fees) incurred by OutLoud or OutLoud's suppliers for property damage, destruction or theft caused by participant while on the program.

Trip Fee and Inclusions:

Please see the website program description for details and total trip costs. Payment covers the cost of lodging with shared occupancy, meals, ground transportation, group activities, group trip insurance, and round trip flights from DFW (unless participant is required to depart from the trip early for reasons stated above). Tuition advertised is inclusive of applicable taxes. Payment also covers the various services performed by OutLoud to prepare for the program. These services include researching, planning, scouting and reserving the itinerary; hiring and training summer staff; and providing information to enrolled participants and their guardian(s). OutLoud makes all reasonable efforts to keep the program as it has been published on our website, however you (legal guardian of participant) agree that the nature of arranging travel requires flexibility and may vary due to availability and factors beyond OutLoud's control. Outloud may in its sole discretion adapt routes and schedules, and substitute services such as hotels, destinations, or activities of similar quality for any stated in the program. For any activities that are missed or unused after departure, OutLoud will make efforts to replace it with one of similar quality, but will issue no refunds for such missed activities. OutLoud does not give a breakdown of program fees or its parts. 

Trip fees do not include baggage fees or souvenirs. OutLoud does not engage personnel qualified to provide medical, dental, health or similar care or services to participant. I (legal guardian of participant) agree to pay all costs and expenses incurred directly or indirectly by OutLoud for this care or other expenses incurred for the well-being of the participant. 

Air Transportation:

All air travel booked by OutLoud is subject to the carrier's own Terms and Conditions. OutLoud is not responsible for changes in air itineraries or flight times. OutLoud cannot guarantee any seating requests nor be responsible for mileage credit involving airline loyalty programs.

Lost, Stolen or Damaged Property:

OutLoud and its representatives shall not be responsible for a participant's lost, stolen or damaged personal belongings. I (legal guardian of participant) agree to be responsible for paying for any damages caused by participant. 

Allergies & Intolerances:

OutLoud understands many participants have food allergies or intolerances. Our commitment is to the health and well-being of our participants, however OutLoud cannot guarantee allergen-free meal settings or environments. OutLoud staff receive training to respond to allergic reactions and to contact emergency personnel if needed, although we travel in remote areas where emergency services may not be readily accessible. It is the responsibility of participant's legal guardian to review participant's specific needs with OutLoud prior to enrollment so you may determine if your child will be able to self-manage their allergies or intolerances. 

Permission To Use Images:

I (legal guardian of participant) authorize OutLoud, its subcontractors, and its representatives to take and/or use my or participant's image, photo, video recording or testimonial in any manner it desires, for advertising, social media, display, publicity or other use without compensation. 

Applicable Law:

I (legal guardian of participant) agree that this application and all other aspects of my child's relationship with OutLoud will be governed by Texas state law, and that any dispute must be filed or entered into only in Dallas County, Texas. 

OutLoud understands that situations may arise that you wish to address. You (legal guardian of participant) agree to present any claims against OutLoud within ninety days after the trip ends and to file any suit within one year of the incident. In any case, OutLoud shall not be liable for any damages other than compensatory damages, and you agree to those conditions of sale and expressly waive any right to punitive damages. You also agree to pursue any claim you have against OutLoud individually and waive your right to serve as a representative, litigant, or in any other capacity, and/or to participate as a member of a class of claimants (in a class action), in any lawsuit filed against OutLoud. 


If any provision of these Terms & Conditions is so broad as to be unenforceable, such provision will be interpreted to be only so broad as is enforceable. The invalidity or unenforceability of any provision hereof will in no way affect the validity or enforceability of any other provision. 

Completion and Permission to Participate:

I (legal guardian of participant) have accurately completed all sections of this application and have read, understand and agree to the Terms & Conditions and Cancellation Policies outlined above. I agree to review all program materials sent and complete all required forms by the deadlines. I give permission for my child to participate in all OutLoud program activities, whether conducted by OutLoud or OutLoud's outside contractors.
